Prestigious Northern Europe university boosts user experience with cloud technology

Estonia’s University of Tartu ranks among the top 1.2 percent of the world's higher education institutions. This rapidly developing international research university is the center of Estonia’s academic spirit, and a leader in social development. To help employees work more efficiently in a modern collaborative virtual environment, the university has replaced a complex mix of legacy solutions with one platform—Microsoft Office 365. As a result, user satisfaction is soaring while the lower costs speak for themselves.

Founded in 1632, the University of Tartu strives to preserve Estonia’s national culture. Today, with 13,000 students and 3,500 employees across seven campuses and 150 buildings, the institution is a major driver of the Baltic country's reputation for research and the provision of higher education.

As a sector leader, the university allocates significant budget to its IT department in staying ahead. “Our role in IT is to help students and employees, and increase their satisfaction as users,” says Kalmer Kase, Head of Infrastructure and Support Services at University of Tartu. “But we had too much legacy software that was becoming a stumbling block to our mission,” he adds. In response, Kase has led a university-wide move to a common platform—Microsoft Office 365, starting with Exchange Online.

Simpler collaboration, improved user experience

“Thanks to Office 365, the time and money that we had to spend on legacy is all being directed into developing new features,” says Kase. “This year alone, we achieved a direct savings of €30,000, and are working 200 fewer IT admin work hours per year as a direct result of adopting Office 365.”

The move also made it easier for the university’s May 2018 introduction of the European Union’s General Data Protection Regulation (GDPR), which was a must. “We wanted the migration to be quick and as smooth as possible for all our users, which our partner GT Tarkvara helped guarantee,” he says.


“In our most recent internal IT Support and Services satisfaction survey, we saw a 5.8-point increase in users being satisfied with the work of the division, and an 11.8-point increase in users being confident that their issue will be resolved,” Kalmer confirms. The team also receives about 50 percent less email-related service calls compared to last year.

Furthermore, due to the ease of use of Exchange Online, support services like troubleshooting problems and restoring accidentally deleted communications is costing about 30 percent less.

Now, the university is working on Microsoft Intune and Microsoft Azure Active Directory (Azure AD), and is also looking into Microsoft Dynamics 365 for Sales. “And now that users are getting familiar with Office 365 through Exchange Online, we have more and more requests from users to be trained on SharePoint Online and OneDrive. People also use Teams more and more, which shows that users are adopting the Office 365 platform as a whole.”
